# Join Live Meetings Your employees can join Google Meet, Zoom, and Microsoft Teams calls as a participant. They listen, take a full transcript, answer when addressed by name, and deliver a summary after. ## TL;DR Share a meeting link with your employee and they join the call as a named participant. Silent by default until you speak their name, then they answer out loud in their own voice. The full transcript lands in Drive and the summary shows up in chat when the meeting ends. ## How It Works You share the link. The employee joins as a real participant with their name and avatar. They listen silently until you address them by name, then answer out loud and keep going. When the call ends, the transcript is in Drive and the summary is waiting in chat. | Step | What Happens | |------|-------------| | **1. You share the link** | Paste the Meet, Zoom, or Teams URL in chat | | **2. Employee joins** | Shows up in the lobby as "Sistava · [Employee Name]", you admit them | | **3. Employee listens** | Full transcript is captured live, speaker by speaker | | **4. You speak their name** | "Hey Eva, what do you think?" wakes them up | | **5. Employee answers out loud** | Responds in their own voice, with full memory of your chat history | | **6. Meeting ends** | Transcript is saved to Drive, summary appears in chat | ## What It Can Do | Capability | Example | |-----------|---------| | **Attend any meeting** | "Join my 3pm sync" or paste a link, the employee shows up | | **Take complete notes** | Every utterance captured, speaker tagged, timestamped | | **Answer when addressed** | "Eva, can you send Sarah the pricing doc after the call?" works live | | **Summarize on request** | "What did we decide about the launch date?" after the call | | **Recall across sessions** | "What did the client say last Tuesday?" pulls from past meetings | | **Pull action items** | "List action items from the call" returns a checklist | ## How to Set It Up **Nothing to do.** Meeting Attender is enabled for every employee at hire. You can manage it like any other tool: 1. Select the employee 2. Click the **Tools** tab 3. Find "Meeting Attender" in the Actions section | Action | What it does | How | |--------|-------------|-----| | **Enable / Disable** | Controls whether the employee can join meetings | Toggle the switch | | **Tool Rules** | Custom instructions, for example "always stay silent in customer calls" or "pull action items after every internal" | Expand the tool and write rules in the text field | | **Delete** | Removes the tool from the employee | Click the delete button | ## Tips & Tricks - **Address them by first name.** "Eva, what do you think?" wakes them. Whole-word match so "Evaluate" will not trigger by accident. - **Tell them secrets in chat first.** The employee has one shared memory with chat and meetings. Tell them something in the morning, ask in the 3pm call, they remember. - **Set tool rules per employee.** A sales employee might always pull action items. A researcher might keep a list of questions raised. - **Use silent mode for sensitive calls.** Ask the employee to attend in silent mode when you want notes only, no participation. - **Pair with tasks.** Ask after the call: "Create tasks from the action items" and they land on the kanban board. ## Behind the Scene | | | |---|---| | **Meeting runner** | Self-hosted open-source service that runs a headless browser per meeting | | **Transcription** | Deepgram Nova-3 on English audio | | **Speech** | Deepgram Aura, the same voice the employee uses in voice chat | | **Memory** | The same private chat thread as your direct messages, so memory is shared in both directions | ### What Gets Stored | | | |---|---| | **Full transcript** | Lives in your employee's Drive, timestamped, speaker-tagged | | **Meeting summary** | Ingested into the employee's long-term memory so they recall weeks later | | **Meeting metadata** | Platform, duration, attendees, link, visible in the meeting list | ## What It Costs | | | |---|---| | **Per minute in a meeting** | 1.5 credits per minute, charged every 60 seconds while the employee is live in the call | | **Tool calls (join / end / list)** | Free | | **Speaking (text to speech)** | Included in the per-minute rate | | **Summary after the meeting** | Standard token credits for the employee's thinking | The per-minute meter stops the second the employee leaves the call. If your credits run out mid-meeting, the employee leaves cleanly so you never overspend. ## Is It Safe - **Named participant.** The employee shows as "Sistava · [Employee Name]" in the tile so everyone on the call sees exactly who is listening. Never silent background recording. - **One employee per call.** No room for uninvited bots attached to your employee. - **Transcript is yours.** Full transcript stays in your tenant. No other customer has access. - **You choose speech mode.** Silent mode is explicit, active is the default. Flip per meeting. ## Good to Know - **Lobby admission.** Google Meet and Teams put guests in the lobby. Admit the employee from the host controls. - **Mic is off until addressed.** The employee joins muted and unmutes itself when speaking, then remutes. - **English first.** Transcription is tuned for English. Other languages work but less accurate. - **No camera.** Audio-only attendee. No video feed, no screen share. - **Not a scheduler.** Share the link when the meeting is live or about to start. Auto-join from calendar ships later. ## Frequently Asked Questions **Q: Does the employee have my chat memory during the call?** A: Yes. The meeting and your chat share one thread, so anything you told the employee in chat is available while in the meeting, and anything said in the meeting is remembered in chat later. **Q: What if I do not want the employee to speak up?** A: Ask them to attend in silent mode. They listen, transcribe, summarize, never say a word. **Q: Can multiple employees attend the same call?** A: Not yet. One employee per meeting session. **Q: What happens if the employee loses connection?** A: The employee tries to reconnect automatically. If the meeting ends in the meantime, you still get the partial transcript and summary. **Q: Where does the transcript live after the meeting?** A: In your employee's Drive under the meetings folder. Timestamped, speaker-tagged, available forever. **Q: How much does a 1-hour meeting cost?** A: 90 credits for the employee sitting in the call, plus standard token credits for any summary you ask for afterwards. **Q: Does it work on Webex, GoTo, or Slack Huddles?** A: Not yet. Google Meet, Zoom, and Microsoft Teams are supported today.
